Open Form 16

Why it's sensitive

Form 16 is the certificate your employer gives you for tax deducted from your salary. It usually has two parts: Part A covers the tax deducted and deposited, and Part B breaks down your salary, exemptions and deductions. Between them they show your PAN, your name and address, your employer's PAN and TAN, and a detailed view of your income and investments.

People ask for it as proof of income: lenders, landlords, visa applications and new employers. Each of them needs some of it, rarely all.

Keep or hide

DetailKeep whenHide when
Your PANThe recipient verifies income against tax recordsThey only need to see your salary
Your addressIt's used as address proofIt isn't needed, which is most of the time
Salary and tax figuresThey're the reason it was asked forYou only need to prove employment
Employer PAN and TANUsually: they identify the employerRarely worth hiding
Deductions and investmentsA lender asks for the full formThey're not relevant to the request

If you're not sure what the recipient checks, ask them. A Form 16 with the wrong parts hidden may simply be sent back.

How to redact Form 16

  1. Open Redact Form 16 and add the PDF or a scan. Password-protected PDFs open in the browser.
  2. PAN and Your name and address are ticked by default. Untick either if the recipient needs it.
  3. Tick Salary and tax amounts only if you want the figures hidden.
  4. To hide one section, such as the deductions in Part B, drag a box over it.
  5. Export, and check each page of the result.

The PAN field covers both your PAN and your employer's. If you only want yours hidden, reject the highlight on the employer's PAN before you export.

Share only the part that's needed

If someone only needs to see your income, Part B alone may be enough, and if they want proof of tax deducted, Part A may be. Ask, and send the pages that answer the question. For monthly figures, a salary slip may do instead: see How to share a salary slip safely.

Questions

Does redacting Form 16 make it invalid?

It depends on the recipient. For an informal check, a redacted copy is usually fine. For formal processes, ask whether they need the unaltered document.

Can I search the exported PDF for my PAN to check it's gone?

Yes, and nothing will be found: the export is rebuilt from pixels, so it has no text layer at all.
