What to hide depends on the reason

An invoice holds details about two parties: the seller and the buyer. Before sharing one, decide which of those details the recipient actually needs.

Why you're sharingKeepHide
Portfolio or template sampleLayout, line item structureClient name and address, prices, invoice number, bank details
Expense reimbursementAmount, date, seller, what was boughtYour card or account details, unrelated line items if allowed
Complaint or online disputeSeller, date, amount in disputeYour address, phone, email, order and customer IDs
Quote comparison with another vendorItems and quantitiesSupplier name, prices if confidential

For reimbursement or tax purposes, check with the organisation asking before covering anything: some need the invoice exactly as issued.

Details to look for

  • Bank details for payment: account number, IFSC or IBAN, UPI ID.
  • Tax IDs such as GSTIN or VAT numbers, for both parties.
  • Contact details: names, emails, phone numbers, billing and shipping addresses.
  • Reference numbers: invoice, order, customer and PO numbers.
  • QR codes and payment links, which can carry the same details in a form you can't read by eye.
  • Signatures and stamps.

How to redact an invoice

  1. Open Redact invoice and drop in the PDF or a photo of the paper invoice.
  2. Emails, phone numbers, bank account numbers, IBANs, IFSC codes, UPI IDs and URLs are highlighted automatically, along with any QR code.
  3. Use find and redact to cover the client's name or a price everywhere it appears.
  4. Draw boxes over signatures, stamps and logos you don't want shown.
  5. Pick Solid for numbers, then export. The text under each box is gone from the new file.

Redacting a few invoices at once? Drop up to 20 files in together and export them as one PDF or a ZIP.

Don't just crop or cover in a PDF viewer

Cropping a PDF page often only hides the edges from view, and shapes drawn in many PDF editors sit on top of text that is still in the file. Exporting from Blur Document rebuilds each page from pixels, so cropped or covered text doesn't survive. If you received an invoice someone else redacted, test it with the PDF Redaction Checker.

Questions

Can I hide the prices but keep the totals?

Yes. Cover only the line item prices by drawing boxes or using find and redact, and leave the total visible.

Will the redacted invoice still be valid for accounting?

Not necessarily. Keep the original for your records and share the redacted copy only where a full invoice isn't required.
