How to redact a Word document

Black highlighting in a Word document doesn't remove the text. Save the document as a PDF, then redact the PDF so the hidden words are really gone. Here's how.

The short answer

Save the Word document as a PDF, redact the PDF with a tool that removes the text under each box, and share only the redacted PDF. Don't send the Word file itself.

This matters most for contracts, HR letters, reports and legal or financial paperwork, where a single name or number left in the file can undo the whole exercise.

Why black highlighting isn't redaction

Setting the highlight or text colour to black, or drawing a black shape over words, only changes how they look. The words are still in the document. Anyone who receives the file can select the text, change the colour back, move the shape, or copy and paste it somewhere else.

Word files can also carry other things you may not have meant to share:

  • Tracked changes, including deleted text that is still stored in the file.
  • Comments and the names of people who wrote them.
  • Document properties, such as the author and company name.
  • Earlier wording in fields, headers or footers you didn't check.

How to redact it properly

  1. In Word, accept or reject all tracked changes and delete comments, so they don't appear in the PDF.
  2. Save a copy of the document as a PDF.
  3. Open the PDF in Redact PDF. Blur Document doesn't open Word files directly, which is why the PDF step comes first.
  4. Review the names, emails, phone numbers and ID numbers found automatically, and use find and redact to cover every occurrence of a word or phrase.
  5. Draw extra boxes where needed and keep the Solid style for text.
  6. Export. Each page is rebuilt from pixels, so the covered text is gone and the metadata is removed.

The same approach works for Excel and other office files: export or print to PDF first, then redact the PDF.

Check before you send

Try to select and copy the redacted areas in the exported PDF. Nothing should come out. You can also drop the file into the PDF Redaction Checker or read how to check if a PDF is redacted.

Keep the original Word file private. The redacted PDF is the version to share, and its text won't be selectable or searchable, which is the point.

Questions

Can the recipient edit the redacted PDF back into Word?

They can convert it, but the covered text isn't in the file anymore, so there's nothing to recover under the boxes.

What if I need the redacted version to stay editable?

Delete the sensitive text in a copy of the Word file and replace it with something like [REDACTED], then remove tracked changes and comments. Check the file properties too before sending.
